Every growing office eventually needs a proper phone system – so calls can be transferred, staff can call each other on extensions, and customers reach the right person. The two main options are a traditional EPABX and a modern IP PBX. Here is a simple comparison from SKB IT Solutions, which installs EPABX and intercom systems and IP phones in Gurgaon and Delhi NCR.
What is an EPABX?
An EPABX (Electronic Private Automatic Branch Exchange) is a phone exchange box installed in your office. Your incoming phone lines connect to it, and it distributes calls to analog or digital extension phones over telephone wiring. It is reliable, simple to use and has been the standard for decades.
What is an IP PBX?
An IP PBX does the same job but runs over your computer network. Extensions are IP phones (desk, video or WiFi cordless) or even mobile apps. It can connect to regular phone lines, SIP trunks or cloud telephony, and adds features like voicemail to email, call recording and remote extensions.
EPABX vs IP PBX at a glance
| Factor | EPABX | IP PBX |
|---|---|---|
| Wiring | Separate telephone cabling | Uses your existing LAN |
| Phones | Analog/digital handsets | IP phones, softphones, mobile apps |
| Upfront cost | Lower for small setups | Higher for phones, lower wiring cost |
| Scalability | Limited by ports/cards | Easy to add users and branches |
| Remote/WFH staff | Not supported | Supported |
| Advanced features | Basic (transfer, conference, DISA) | Call recording, IVR, voicemail to email, CRM integration |
| Dependence | Works independently of network | Needs a stable network and power backup |
When an EPABX makes sense
- Small office with a fixed number of users and no plans to expand soon
- Building already has telephone wiring in place
- You need a simple, budget-friendly system with minimal setup
- Hotels, societies and factories that need basic internal calling
When an IP PBX is the better choice
- Growing team or multiple branches that should share one system
- Staff who work remotely or move around the office
- You want call recording, IVR menus or integration with your CRM
- New office where you are already laying network cabling
Can you have both?
Yes. Many hybrid systems support analog extensions and IP phones together, so you can keep existing handsets in some areas and add IP phones where you need more features. This is often the most cost-effective way to upgrade an older EPABX.
Tips before you buy
- Count current users and how many you expect in 2–3 years
- Check how many incoming lines or SIP channels you need at peak time
- For IP systems, make sure your network switches support PoE and QoS
- Put the system on a UPS so phones keep working during power cuts
- Ask for training and an AMC for quick support
